Withdrawal & Transfer Certificate Policy

At Sri Ramakrishna Matriculation School, we value the trust that parents place in us and aim to make every phase of the academic journey smooth and transparent—including withdrawal or transfer. The following guidelines are framed to assist parents in understanding the process and policies related to student withdrawal and Transfer Certificate (T.C.) issuance.

Procedure for Withdrawal

Written Application

* Parents or guardians intending to withdraw their child must submit a written application addressed to the Principal at least 10 working days in advance.
* The application must clearly state the student’s name, class, section, reason for withdrawal, and T.C. requirement.

Clearance of Dues

*All school dues including term fees, library dues, transportation (if applicable), and canteen charges must be cleared before initiating the withdrawal process.
*No Dues Certificate (NDC) will be required from respective departments (Accounts, Library, Transport, etc.).

Transfer Certificate Fee

* A nominal processing fee of ₹100/- is charged for issuing the Transfer Certificate.

T.C. Processing Time

* Transfer Certificates will be issued within 10 working days from the date of receipt of the withdrawal request and clearance of all dues.

For Mid-Term Withdrawal

* Students leaving the school in the middle of the academic year must pay fees up to the current term.
* No refund will be provided for the fees already paid, as per the school’s non-refundable policy.

Important Guidelines

* Transfer Certificates will only be handed over to parents/guardians in person. No third-party collection will be entertained unless officially authorized in writing.
* Parents are encouraged to collect the T.C. in person and verify all details to avoid future discrepancies.
* If the student has applied for admission to another institution, the name of the new school may be mentioned in the application for record purposes.
* Students who have been issued a T.C. will not be allowed to rejoin without going through the full admission process again.

Cancellation of Withdrawal Request

* If a parent decides to cancel the withdrawal request after submission but before the T.C. is issued, a formal cancellation letter must be submitted.
* Re-admission will be subject to availability of seats and re-approval by the Principal.
This policy ensures that the school administration maintains accurate student records and allows parents adequate time and flexibility for planning their child’s academic transition.
